Contractual conditions for seminar participants

Arrival and departure

Check-in and occupation of your guest room is possible between 14:00 and 20:00 on the day of arrival. The guest room must be vacated by 10:00 a.m. on the day of departure.

Prices/price changes

We allow room bookings well in advance of seminars and participants often book for a date in the following year. At this time, cost changes and price increases are often not yet known.

Price changes between the time of booking confirmation and the time of the event will be added to the booking at a later date. We ask for your understanding.

Cancellations

Cancellations are only possible in writing. The total amount is made up of: the booked guest room per night, the catering service per day and possible special services. The prices and services according to the booking confirmation apply.

  • up to 3 months before the start of the seminar: 10% of the total amount
  • up to 2 months before the start of the seminar: 50% of the total amount
  • up to 4 weeks before the start of the seminar: 75% of the total amount
  • thereafter: 100% of the total amount

We recommend that you take out travel cancellation insurance. This will then cover your costs in accordance with the agreement if you are unable to travel.

Catering and smoking

The catering package includes breakfast, water, tea, coffee, cookies and fruit throughout the day. Lunch is available on request. Lunch is charged separately.

Please inform us of any allergies or intolerances up to two weeks before the start of the seminar, otherwise we may not be able to accommodate them. We charge an additional 5 euros per day for special catering requests.

The guest house and the seminar house are smoke-free buildings. Smoking is permitted outside.

Pool opening hours

The swimming pool can be used from 8.00 am to 7.00 pm. We need the time in between for cleaning.

Internet use

By using our Internet connection, you as a user agree that we may store your MAC address for possible queries from providers and disclose it to third parties.

Items you bring with you

The Seminar House accepts no liability for loss of or damage to items brought onto the premises, including personal items. It is the responsibility of the participant to insure the items brought along appropriately. The Seminar House accepts no liability for loss, destruction or damage, including financial losses.

Noise level and quiet times

Outside and inside, quiet hours apply from 10pm. Parties, dancing and loud music must be requested in advance. We will check the feasibility depending on the occupancy situation so that other guests or neighbors are not disturbed. If your event occupies the entire house, an end time must be agreed.

Contractual conditions for organizers

Subject matter of the contract

The following general terms and conditions are an integral part of the contract. The contract is concluded with the signature of the seminar organizer on the accommodation contract. Prices, rents and fees are quoted in euros and include the applicable VAT (for prices see information brochure for seminar organizers).

Prices/price changes

Price changes between the time of booking confirmation and the time of the time of the event will be added to the booking retrospectively. We ask for your understanding.

Minimum number of participants / maximum number of participants

The minimum number of participants for a seminar is 8. If a seminar group does not use all the rooms, these can be allocated to individual guests (extensions or earlier arrival).

The maximum number of participants depends on our accommodation capacity. We have 30 beds if all rooms are double occupancy. For single occupancy it is 15.

Cancellation by the organizer

The organizer makes a binding booking for the seminar room, the guest rooms and the catering package. The landlord shall provide the bindingly booked rooms as agreed. Cancellation fees will be charged in the event of cancellation by the organizer.

  • Up to 3 months before the start of the seminar 100 Euro
  • Up to 2 months before the start of the seminar 500 Euro
  • Up to 4 weeks before the start of the seminar 1000 Euro

We charge €50 per night and person for under-occupancy, based on the event duration. Cancellations that are charged directly to seminar participants in accordance with these GTCs are excluded.

Cancellation by the Vida Balance Garden

Vida Balance Garden is entitled to terminate the contractual relationship without giving reasons up to twelve months before the event.

Vida Balance Garden is entitled to terminate the contractual relationship at any time for good cause if

  • the event or a meeting violates applicable law or official regulations
  • the principles of interaction laid down in the GTCs are jeopardized
  • the provision of services has become impossible due to force majeure
  • outstanding invoices are not paid
  • the lessor goes out of business
  • the content of the event does not correspond to the announced content of the event.

In such cases, the organizer shall not be entitled to any claims for damages against Vida Balance Garden, unless Vida Balance Garden has deliberately caused the cancellation.

Bringing food and drinks to events requires the permission of Vida Balance Garden.

Meal times for breakfast and lunch are agreed individually with each group.

Internet use, music and decoration material

Should the organizer plan musical performances during the event, he is obliged to comply with the legal requirements. All resulting costs shall be borne by the organizer. The unauthorized downloading of videos, images, texts or music from the Internet is not permitted. Third-party copyrights apply here. These must be clarified in advance by the seminar leader or organizer himself and, if necessary, appropriate permissions must be obtained. We would like to point out that the organizer is solely responsible for compliance with the legal regulations and ordinances by him and his seminar participants. The lessor accepts no liability for this. The installation of decorative material or other objects must be approved by the lessor. The organizer is liable for any damage.
